Privacy Policy

How we collect, use and protect your information.

Last updated: October 3, 2026

Akoya Creative ("Akoya," "we," "us" or "our") is a women-owned digital marketing agency based in Rockland, Maine. This Privacy Policy explains what information we collect when you visit akoyacreative.co or get in touch with us, how we use it, who we share it with, and the choices you have.

We work with data every day, so we take handling yours seriously. We also think a privacy policy should be readable, so we've kept this one in plain language.

The short version

  • What we collect: what you choose to send us (like your name, email and message) and basic analytics about how people use our site.
  • Why: to reply to you, do good work for our clients, and understand which parts of our site are useful.
  • What we don't do: we don't sell your personal information, and we won't add you to a marketing list unless you ask to be on it.
  • Your control: email hello@akoyacreative.co any time to see, correct or delete what we have about you.
  • 1. Information we collect
  • 2. How we use it
  • 3. Cookies and analytics
  • 4. Who we share it with
  • 5. Data we handle for our clients
  • 6. AI tools in our work
  • 7. How long we keep it
  • 8. How we protect it
  • 9. Your choices and rights
  • 10. Children's privacy
  • 11. Changes to this policy
  • 12. Contact us

1. Information we collect

Information you give us

  • Contact and inquiry forms: your name, email address, company, website, phone number and anything you include in your message.
  • Scheduling: when you book a call through our scheduling tool, your name, email, the time you choose and any answers you provide.
  • Questionnaires and onboarding forms: information about your business, goals, audience and marketing that you share so we can scope or start a project.
  • Email and calls: anything you share with us directly over email, phone or video.

Information collected automatically

When you visit our site, our website platform and analytics tools collect standard technical information, such as your IP address, browser type, device type, approximate location (city or region), the pages you visit, how long you stay and the site that referred you. This helps us understand how our site is used. It isn't used to identify you personally.

Call recordings and notes

With notice at the start of a call, we may record and transcribe client and discovery calls using a meeting note-taking tool so we can capture details accurately. If you'd rather a call not be recorded, just tell us and we'll take notes by hand.

2. How we use it

  • To respond to you: answering questions, scheduling calls and sending proposals you've asked for.
  • To deliver our services: planning, running and reporting on work for our clients.
  • To run and improve our site: seeing which pages are helpful, fixing problems and planning new content.
  • To run our business: invoicing, record keeping, and meeting legal, tax and accounting obligations.
  • To keep things secure: preventing spam, fraud and misuse of our site.

We won't add you to a marketing email list unless you sign up or ask us to. If you do join one, every email will include a way to unsubscribe.

3. Cookies and analytics

Cookies are small files stored in your browser. We use them in a few limited ways:

  • Essential cookies: set by our website platform, Squarespace, so the site loads and works properly.
  • Analytics cookies: set by Google Analytics (managed through Google Tag Manager) to help us understand site traffic and how visitors find us.

We don't currently run advertising pixels or retargeting on our own site. If that changes, we'll update this policy first.

Your options: you can block or delete cookies in your browser settings, and you can opt out of Google Analytics with the Google Analytics opt-out browser add-on. Blocking essential cookies may affect how parts of the site work.

Do Not Track: some browsers send a "Do Not Track" signal. There's no common standard for responding to it yet, so our site doesn't change its behavior when it receives one.

4. Who we share it with

We don't sell your personal information, and we don't share it for cross-context behavioral advertising. We share it only in these situations:

  • Service providers: trusted tools that help us run Akoya, such as Squarespace (website and forms), Google (analytics, email and file storage), Calendly (scheduling), and our meeting notes, project management and accounting tools. They can only use your information to provide their services to us.
  • Partners on your project: if you're a client, we may share project details with trusted contractors or partner agencies who help deliver your work. They're bound by confidentiality, and we'll tell you who's involved.
  • Legal reasons: when required by law, or to protect the rights, safety or property of Akoya, our clients or others.
  • Business changes: if Akoya is ever merged, acquired or sold, information may transfer as part of that change. This policy would continue to apply.
  • With your permission: any other time, only if you say it's okay.

5. Data we handle for our clients

As part of our work, clients sometimes give us access to their own customer data, for example inside Klaviyo, Shopify, Google Ads, Meta or Google Analytics. When that happens, we act on our client's behalf. We use that data only to do the work they've hired us for, under our agreement with them, and we don't use it for our own purposes.

If you're a customer of one of our clients and have a question about your data, please contact that business directly. Their privacy policy governs how your information is used. We're happy to help them respond.

6. AI tools in our work

We use some AI-assisted tools for things like research, drafting, analysis and meeting notes. When we do, we use business accounts and choose settings that keep client information from being used to train public AI models wherever those settings are offered. A real person on our team reviews the work before it goes to a client.

7. How long we keep it

We keep personal information only as long as we need it for the reasons above. Inquiries that don't turn into a project are typically deleted within 2 years. Client records are kept for the length of the engagement and afterward as needed for legal, tax and accounting purposes. Analytics data is kept according to our Google Analytics retention settings.

8. How we protect it

We use reasonable safeguards to protect your information, including secure (HTTPS) connections, password managers, two-factor authentication on our key accounts, and limited access to client data. No system is perfectly secure, so we can't guarantee absolute security, but we take it seriously and will let you know promptly if a breach affects your information.

Please don't send passwords or login credentials through our contact form or by email. When we start working together, we'll set up access the secure way, usually by having you add us as a user or partner on each platform.

9. Your choices and rights

No matter where you live, you can ask us to:

  • Access: tell you what personal information we have about you.
  • Correct: fix anything that's inaccurate.
  • Delete: remove your information, unless we need to keep it for a legal or business reason we'll explain.
  • Opt out: stop any marketing emails from us.

Some U.S. states and other countries give residents additional privacy rights. If those apply to you, we'll honor them. To make a request, email hello@akoyacreative.co. We may need to confirm your identity first, and we'll respond within 30 days. We won't treat you differently for using your privacy rights.

Akoya is based in the United States, and information we collect is stored and processed in the U.S. If you're visiting from outside the U.S., your information will be transferred here.

10. Children's privacy

Our site and services are meant for businesses and adults. We don't knowingly collect personal information from children under 13. If you believe a child has shared information with us, contact us and we'll delete it.

11. Changes to this policy

We may update this policy when our tools or practices change, or when the law requires it. When we do, we'll change the "Last updated" date at the top of this page. If a change is significant, we'll make it clear on this page or let our clients know directly.

12. Contact us

Questions about this policy or your information? We're happy to talk it through.
